How we handle the information you give us through this website.
Last updated: 2026. This policy explains how Matrix BAU Property Solutions Ltd (Company No. 15623011), trading as Matrix Damp 'n' Mould, collects and uses personal data. We are the data controller for the purposes of UK GDPR and the Data Protection Act 2018.
What We Collect
When you complete an enquiry form on this site we collect your name, telephone number, email address, property postcode, the property and service details you select, and anything you write in the message field. If you contact us by phone, WhatsApp or email we hold the contact details and the content of that correspondence.
We do not use advertising or analytics cookies on this website, and we do not track you across other sites.
Why We Use It
We use your information to respond to your enquiry, to arrange and carry out a survey or works, to produce reports and quotations, to invoice, and to keep records of work carried out and guarantees issued. Our lawful basis is your consent for the initial enquiry, and thereafter the performance of a contract and our legitimate interest in running the business and maintaining records for the duration of guarantees.
Who We Share It With
Form submissions from this site are processed by Web3Forms, which forwards them to our email account; they are not sold or used for marketing by us or by them. We may share your details with a manufacturer where a product guarantee needs registering in your name, or with our insurers, accountants or professional advisers where necessary. We do not sell personal data to anyone, ever.
How Long We Keep It
Enquiries that do not lead to work are deleted within 12 months. Where we carry out work, we retain the survey, specification, invoice and guarantee records for the life of the guarantee plus six years, because that is the period in which a claim could be made and the records are needed to honour it.
Your Rights
You have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to have data erased where we no longer need it, to restrict or object to processing, and to withdraw consent at any time. To exercise any of these, email tony@matrixpropertyrepairs.com and we will respond within one month.
If you are not satisfied with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Security
This site is served over HTTPS. Enquiry data is transmitted encrypted and held in our business email account, which is access-controlled. We keep access to client records limited to the people who need it to do the work.
